The Strategic Importance of Executive Assistants and Personal Assistants in VIP Services

At Algoz Group, we rarely receive our first message from the VIP directly. In most cases, our initial point of contact is the Executive Assistant (EA) or Personal Assistant (PA) — the professional who truly stands at the centre of the VIP’s world.

This article is written for you.

Because, in reality, when we support a VIP, we are first and foremost supporting their PA.

The PA: The VIP’s Right Hand — and Our Key Partner

Executive and Personal Assistants as first line clients

At Algoz, we are rarely contacted by the VIP directly when considering new clients. In most cases, our first conversation is with the PA or EA. And experience has shown us that this is exactly how successful operations begin.

The PA is the right hand of the VIP. The person who understands how the VIP operates on a daily basis, often better than anyone else involved. You manage priorities, protect time, filter risk and ensure that everything around the VIP runs smoothly, discreetly and without friction.

In many assignments, the PA is also our direct client. We work side by side, sometimes for weeks before a service even starts, aligning expectations, understanding preferences and planning details that will never appear in a briefing document. It is often through a short call or a quiet message from the PA that we learn what truly matters and what must absolutely be avoided.

That first-hand knowledge is critical. It allows us to build accurate profiles, conduct meaningful close protection assessments, and deliver services that feel natural rather than imposed. The details shared by the PA often make the difference between a service that works and one that excels.

This collaboration typically covers elements such as:

• Daily routines and habits

• Personal tastes and preferences

• Sensitivities, boundaries and non-negotiables

• Working style and expectations

• Principal's privacy concerns

Our role is not to complicate the PA’s work, but to support it. We take ownership, anticipate challenges and operate with discretion, always respecting the PA’s authority and decisions. When something changes, and it often does. We adapt quickly, so the PA can mind their business.

We have seen time and again that when there is trust between the PA and the service provider, everything becomes simpler. Communication shortens. Decisions are faster. The VIP experiences a level of service that feels effortless.

When the PA succeeds, the VIP succeeds, so we succeed.
